TRAVEL INFORMATION

PAYMENT


The costs associated with airfare, ground transfer to/from your home airport and obtaining Passports/Visas will be paid for by your division. Please discuss the payment process with your liaison.


AIRPORTS

There are two New York area airports recommended for your air travel. Traffic can be heavy at times and both airports are located approximately 1 hour - 1.5 hours from the Hyatt Regency Greenwich.


  • LaGuardia Airport: 30 miles (50 km) from the Hyatt Regency Greenwich. Be aware that LaGuardia Airport is currently under a lot of construction. As a result, traffic around the airport is extremely heavy. Please plan on the extra time required to get in and out of the airport.
  • JFK Airport: 36 miles (58 km) from the Hyatt Regency Greenwich
  • Westchester County Airport: 8.3 miles (16 km) from Hyatt Regency Greenwich
  • Newark Liberty International Airport: 53 miles (85km) from Hyatt Regency Greenwich

Due to heightened security measures at all airports:


  • TRAVELERS WITHIN THE U.S.: Check in at the airport a minimum of 90 minutes in advance, to be at your boarding gate 45 minutes before your scheduled flight.
  • INTERNATIONAL TRAVELERS: Check in at the airport a minimum of three hours in advance, to be at your boarding gate one hour before your scheduled flight. For detailed information, please visit http://www.tsa.gov/

VISAS


All winners and their guests from outside of the United States should contact the American Embassy or Consulate Office in their country of citizenship for specific details about securing documentation required to enter the U.S.

While each Consulate Office may have a unique Visa application process, here are some general details to consider: All Visa applicants must demonstrate that he or she:

    1. is traveling to the U.S. on business;
    2. plans to remain in the U.S. for a specific, limited time period;
    3. has residence outside the U.S. as well as other binding ties, which will ensure his or her return abroad at the end of the visit.
    • Visa applications are now subject to a greater degree of scrutiny than in the past and may be result in a lengthy process..
    • Each applicant for a visitor Visa must pay a non-refundable application fee (covered by your Division as a 2018 PepsiCo Chairman’s Ring of Honor expense) and submit:
      • An application form which must be completed and signed. Blank forms are available without charge at all U.S. consular offices;
      • A Passport valid for travel to the U.S. and with a validity date of at least six months beyond the applicant's intended period of stay in the U.S.
      • Two photographs, 1 ½ inches square (37x37 mm) for each applicant, showing full face, without head covering, against a light background.

Inductees are responsible for obtaining the necessary documentation for themselves and their guest. If assistance is needed, please contact your 2018 Ring of Honor liaison. Your division will cover all costs and fees associated with both the Passport and Visa applications.


PASSPORTS


Non-U.S. citizens traveling to the 2018 PepsiCo Chairman’s Ring of Honor from outside of the United States (including those from Canada and Mexico) must have a valid Passport from their country of citizenship with a validity date at least six months beyond the period of stay in the United States. If you or your guest currently has a Passport that will expire before January 1, 2018, you will need to apply for a new one. Routine processing may take at least 6 weeks. Contact your 2018 PepsiCo Chairman’s Ring of Honor liaison immediately if you require assistance in obtaining or renewing your Passport.


DOCUMENTATION


Carry with you your Itinerary, Passport, Visa, and the names of PepsiCo contacts and telephone numbers.

Leave a copy of your itinerary, Passport, Visa and the names of PepsiCo contacts and telephone numbers with someone back at home and with your liaison.

Carry emergency contact information with you. This should include an emergency contact at home, doctor’s name and telephone number, health information, allergies, current medications you are taking and immunization records.

Carry your government issued photo ID (valid driver's license or Passport), airline ticket and all travel documents. You will need to show your ID both at check-in and during the boarding process. Make photocopies of these same documents and place them in your carry-on baggage.


OPTIONAL DOCUMENTS


Applicants must demonstrate that they are properly classifiable as visitors under U.S. law. Evidence that shows the purpose of the trip, intent to depart the U.S., and arrangements made to cover the costs of the trip may be required. It is impossible to specify the exact form of evidence required, as each applicant's circumstances may vary greatly. Persons traveling to the U.S. on business can present a letter from the U.S. business firm indicating the purpose of the trip, the bearer's intended length of stay and the firm's intent to defray travel costs. BOOKING AIR TRAVEL


TRAVELERS WITHIN THE U.S.: Please arrange your travel reservations through your local agency recommended by your Division.

For those who will be processing airline payments through T&E, you must include a copy of your congratulatory letter from Indra K. Nooyi when you submit receipts. The letter is required to have your guest’s cost of travel approved and processed. Please contact your local finance department if you have any further questions or concerns.

If you need help booking your flight reservations, you may call American Express Global Business Travel for assistance. Once your flights are confirmed, you will receive an email copy of your itinerary from American Express Travel. You must enter your confirmed flight information into the "Travel" section of your online registration form.

INTERNATIONAL TRAVELERS:
It is extremely important that you begin the process of obtaining a Passport/Visa as soon as possible. For specific details about securing required documentation, all winners and their guests traveling from outside of the United States should contact the American Embassy or Consulate Office in their country of citizenship.

To book your air travel, please contact your local travel agency recommended by your Division. Refer to your Ring of Honor liaison for further assistance. Once your air travel is confirmed, you must enter this information in the "Travel" section of your registration form.

CARRY-ON BAGS
Certain items cannot be packed in a carry-on bag, including knives, razors, cigarette lighters and toiletries larger than 88 ml (3 ounces).

LUGGAGE RESTRICTIONS
Check with your individual airline for luggage restrictions - the cost for and quantity of suitcases allowed per person and the weight allowed per bag. Additional charges will apply to overweight bags.

Allow room for gifts and souvenirs on your return trip.


LUGGAGE TAGS
It is important that you use the luggage tags that are provided. These tags will help us identify you and your luggage.


GROUND TRANSPORTATION


You will be greeted at a New York area airport by a PepsiCo Representative based on the flight information that you provide in your online registration form. If your flight or travel arrangements change, it is extremely important that you make your updates in the online registration. Ground transportation is arranged based on the most current information we have. If you have any travel changes or an emergency after Friday, April 28, 2018, please contact Patrick Luby (pluby@eventsforum.net , (00) 1-888-462-5092).

You will receive a confirmation letter one week prior to your trip to confirm your travel arrangements.


VALUABLES


  • It is recommended that you leave your valuable jewelry at home. However, if you do choose to travel with valuable items, remember to keep them with you at all times while traveling. Do not pack jewelry in your checked suitcase. While in your hotel room, you may utilize your in-room safe or the safe deposit box located at the front desk. Always keep your items in a safe and secure place.
  • Stay with the group, avoid people bumping into you and only use transportation provided by PepsiCo. Make sure to collect and take with you any cameras or other items that you may have taken out during your flight(s) and excursions.
  • Carry Medicine with you; do not put them in your checked baggage.
  • If you are traveling with a laptop computer, we strongly suggest that you carry it with you instead of checking it in your luggage.
